How to Flatten PDF Forms and Annotations

Understand the difference between interactive content and a fixed appearance.

Flattening turns supported interactive fields or annotations into a fixed page appearance. It is useful when completed values must remain visible during sharing, but it can remove later editability. Keep an editable original before starting.

Prepare Fields and Annotations

Fill all intended form values and check that they are displayed correctly in your reader. Review checkboxes, selected options, long text, stamps, and comments. Save the filled source before uploading it.

Some annotations contain pop-up text or other information that is not visible on the page. Decide what the recipient actually needs. Flattening is not a substitute for redaction and should not be used to hide sensitive content beneath another object.

Create a Fixed Copy

  1. Open Flatten PDF and select the saved source.
  2. Confirm the document is accessible and that its filled values are present before processing.
  3. Start the task and download the fixed result.
  4. Open it in another suitable reader and inspect every important field and annotation.
  5. Check whether the required fields are now fixed, while keeping the editable source for future changes.

Review a representative page with the longest field text and the most complex annotation, rather than checking only the first page.

Verify the Appearance

Look for clipped text, missing checkmarks, blank fields, shifted stamps, and changed fonts. Existing field appearance information may differ between readers; a value stored in a field is not always rendered identically by every application.

Changing a signed document can invalidate its digital signatures. Preserve the signed original and follow the recipient's signing workflow when a valid signature is required. A drawn signature picture and a cryptographic digital signature are different things.

If private information must be removed, use Redact PDF and verify the result instead of covering it with an annotation. Review file security before processing sensitive forms.

Frequently Asked Questions

Can I edit fields after flattening?

Supported flattened fields lose their normal interactivity. Keep the original for later edits.

Does flattening securely remove hidden content?

Do not assume so. It fixes appearance and is not a full privacy-sanitization workflow.

Does a screenshot-like result prove correctness?

No. Check the full document, important values, field behavior, and any required signatures in the downloaded file.
